How to Have a Successful Virtual Meeting

It is easy in this day and age to get so caught up in your work that you forget about meetings and then have to walk in late.  What if you could solve that entire problem by making all of your meetings virtual and having a reminder pop up for it?  Well, with the way the technology is in this day and age you can schedule yourself a virtual meeting and invite as many of your clients and colleagues as you would like.  This way, you can hold a meeting right at your desk without being crowded by people.

Holding a virtual meeting, while it sounds very easy on paper, it may not be all that easy when you are first starting out.  Some of the biggest complaints that companies have is that when people hold virtual meetings, they are multi-tasking and miss important points that they would not have missed if they had met face-to-face.  While it is important that everyone take some responsibility for their own actions during the virtual meeting, it is important that you, as the meeting holder are completely committed to the meeting and have no distractions.

Another thing that you will need to watch out for when you have a virtual meeting the fact that everyone will most likely want to talk over each other, while this is difficult to accomplish while you are face-to-face, if it is all virtual it is not that hard to talk over someone.  This is why you, again, as the meeting holder will need to arrange a kind of ‘virtual table’ that will give everyone a chance to speak at certain times.  This will also keep your participants focused, for they may never know when it is their turn to talk.

How a virtual table works is that you will set up a time of one single minute that the person can talk straight with no interruptions, after that minute has passed then you will ask “Anything else?”  If there is nothing else, then you can move onto the next person.  This is a great idea for the bigger virtual meetings that you will probably be holding for without a traffic cop everyone will just talk over everyone else.
