Ask yourself: do you know the conference room like the back of your hand? If you’re the person that handles these kinds of meetings, are you sure that you know more about what sort of meetings to hold and facilitate more than anyone? You know, these are very important questions because virtual meetings are no easy task. And if you end up bringing the wrong kind of materials or setting up the wrong kind setting for the wrong meeting then you will be causing not only a lot of time and resources wasted, but you will also be frustrating and discouraging the virtual office as well.

Fact: There are even those people who, due to incredible lack of focus and experience, have even invited the wrong people to a meeting before. Honest!

But the cure to what could be the most embarrassing moment for you is very simple. You just have to know the right kind of virtual meeting to set. Each type has their own guidelines almost similar to that of the general office meetings, but what’s more important is that from there you can finally trek the right office team building path.

Informational meetings are very generic and usually held during certain periods scheduled by the virtual team. This is where facts are passed between team mates and their virtual team leader, who will be answering questions whenever necessary. Meetings such as the introduction of new projects or virtual office jobs fall under this category, so everyone in the team is needed to hear them out.

Group decision meetings are those that gather the people to face an issue that is important to resolve for the benefit of the virtual office. A meeting like this among virtual teams challenges everyone to contribute and come up with the most reasonable and firm solution possible based on the team’s consolidated concerns.

Technical design meetings involve the presentation of certain parts of a present project such as coming up with a project banner. These kinds of virtual meetings will require lots of file sharing and imaging software so as to give copies of manuscripts, drafts, and etc. to everyone.

Lastly, evaluations take place either right after a project or during a set period such as a quarter or year’s end. Online evaluations will allow the virtual team to give comments based on the things that they’ve seen transpiring during the project proper, which will give room for the entire team to find means of improvement.

Having a successful virtual meeting can only happen if you know where you’re going, or at least starting. Keep in mind which kind of meeting you are supposed to call for and give the right people the right information and you just might be able to pull it off with flying colors.
